Who are we?

Meadowcroft Cottage is run by Helen MacKenzie on the Isle of Lewis. Meadowcroft Cottage website exists to showcase the cottage, so that you have a clear idea of the accommodation and area. The website also directs you to Free to Book if you wish to make a booking for Meadowcroft Cottage.

How do we collect your personal data?

From you when you book accommodation at Meadowcroft Cottage via Free to Book.

Also, if you send us an email or phone us then we will obviously receive your email address or phone number.

If you make a booking, we may need to contact you for administrative purposes, for example to confirm check in time, or ask if you have any special requirements.

What personal data do we collect?

We collect two kinds – contact data and transaction data.

Contact data consists of your name, billing address, email address and phone number. We collect this data through Free to Book (who have their own privacy policy). We collect this so we can have your booking details and contact you about your booking if necessary.

Transaction data consists of what you booked, how much you paid for it and by what means you paid. It is simple common sense to keep a note of what we have sold, but we are also required by law to keep business accounts and to submit an annual tax return. The transaction data is an integral part of this process.

We collect no other personal data or financial data. The financial data associated with our transactions goes to Stripe, and does not come to us.

Do we share personal data with any third parties?

We do not sell your personal information to third parties and we will only disclose to our selected business partners and service providers for the purpose of facilitating your requests with Meadowcroft Cottage. Data is passed through Free to Book (who have their own privacy policy) so that your booking can be processed.

We use Google Analytics to gather general information on site and page views and other basic site usage data.

We use Free to Book to facilitate booking and payment through Stripe for Meadowcroft Cottage.

We do not share your personal data with any other third parties.

We take all possible steps to protect your personal date, but transmission of data online does have data transmission over the Internet cannot be entirely secure. We, therefore, cannot guarantee the security of the information you disclose online and the use of our facilities (e.g. email) is at your own risk.

How Do We Store Your Personal Data?

Booking data is stored on our calendar, in our dedicated email account and in our tax records dating back 6 years.

How long do we keep your personal data & can I insist that my personal data is deleted from your records?

Yes, it is your statutory right to do so. We will delete your personal data on request, apart from any current transaction data that we must retain for tax purposes.

UK tax laws require us to keep all accounting and transaction data for 6 years following the submission of our tax return.

Our Website & Cookies

Our booking process takes place off site on the Free To Book website, who have their own Privacy Statement. The purpose of the Free To Book link is to allow you to choose your booking slot and pay for your chosen accommodation.

We use Google Analytics to monitor statistics on our website. We use this data to analyse which pages are of most interest to our visitors as a whole so that we can provide relevant future content. Google Analytics runs four cookies through the website for the purposes of gathering statistical and behavioural information. Our website is set to anonymise individual IP addresses before they are stored by Google Analytics.

If you disable Cookies in the privacy section of your browser you will still be able to access and browse our website, but you will not be able to make an order on Free To Book, as cookies are required for the functionality of the booking pages.

When Will You Hear From Us?

If you book time in Meadowcroft Cottage through Free to Book you will get a confirmation email.

If we have a question about your booking we will email you to clarify any details that we are not sure about (for example to find out any particular requirements for your stay).

If you email us or use our Contact Us form we will reply to your enquiry.

If you phone us we will answer or return your call.
